Project tools

If your team plans its work in Asana or Trello, link those projects to Softbooq projects. Tasks come into Softbooq, where they sit next to the project’s budget, time and billing, and your changes go back to the tool. The tools are in Settings → Integrations, under Project Management. Projects is part of Softbooq Plus and Pro.

Connect a tool

Link projects

Open a Softbooq project. Above its tabs is a tile for each connected tool: click it, pick the project, board, plan or team, and choose Link. To link many at once, use the tool’s panel in Settings: Bulk-link projects (Planner, Asana, Jira), Manage Boards (Trello) or Bulk-link teams (Linear). You can pair existing Softbooq projects, or create Softbooq projects from the tool’s own. A linked project can be set to sync both ways, Pull only or Push only. Zoho Projects is always pull only.

What comes in, and what goes back

People are matched by email. Someone in the tool who is not in Softbooq is left unassigned. Planner lists the assignees it could not match, and Asana tells you how many comments it skipped because their author is not in Softbooq.

Asana time, time off and teams

With Asana you can also bring in time entries (on Asana’s Advanced tier and up), time off, which becomes approved leave, and teams. They come in with each sync, or at once with Sync time entries, Sync time off and Sync teams.

Jira worklogs and IT tickets

Jira worklogs become time entries in Softbooq, waiting for approval, for people whose email matches an employee. Choose whether imported hours are billable and which cost centre they go to when you link. A Jira project can feed IT Helpdesk instead of a project: choose it under Sync issues to, and its issues arrive as helpdesk tickets. IT Helpdesk is part of Softbooq Pro.

Zoho Projects

Every sync brings in all your Zoho projects, up to 200, creating a Softbooq project for each one that is not linked yet.

How often

Changes come in every 15 minutes (Zoho Projects every hour), and your changes go back within a couple of minutes. Sync now on a linked project syncs it straight away. Asana, Trello and Jira can also send changes the moment they happen: on the linked project, choose Enable real-time (Asana), Webhook (Trello) or Refresh webhook (Jira). Linear does this by itself.

Unlink or disconnect

Unlink on a project stops its sync. Disconnect in Settings stops the tool’s sync. Tasks already in Softbooq stay in both cases.
