Jacinta, your AI assistant

Jacinta is Softbooq AI’s assistant, built into Softbooq. Ask her about your business in your own words: she answers from your records, shows which ones she used, opens the right screen, and prepares work such as an invoice draft for you to check.

Open Jacinta

Choose Jacinta in the sidebar. On a phone, she is the star in the top bar. You can also type a question into the search (Ctrl+K or Cmd+K) and choose Ask Jacinta. The panel stays open over the module you are in, so you can read an answer and act on it without leaving the page. New chat starts a fresh conversation, and Chat history reopens earlier ones.

Fast and Advanced

Choose the Engine at the top of the panel:

• Fast finds your records and answers your totals. It is free.
• Advanced also filters and compares across your records, prepares work and acts for you. It uses AI credits.

If Fast cannot answer, Jacinta says so and offers Ask Advanced.

Suggestions to start with

A new chat offers suggestions for the module you are in: Cash Flow, Overdue and Tax Info in Finance, Hiring, On Leave and Policy in Human Resources, Top Clients, Lead Status and Follow-ups in CRM, Receipts and Bookings in Travel & Expense, and Spending and Team everywhere else.

Where an answer comes from

When Jacinta answers from your data, Based on your data lists the records and documents she used. Click one to open it. She only uses records you are allowed to see.

What Jacinta can do

• Answer questions across your modules: who owes you money, what was spent, who is on leave, which contracts are ending.
• Open the right screen, with a button to go there.
• Prepare a draft of an invoice, a customer or a product, in Softbooq’s own form. Nothing is saved until you press Save.
• Prepare an import from a list you attach (CSV or Excel), in the importer’s preview. Nothing is added until you press Import.
• Create a record when you say yes: an expense, purchase order, project, task, time entry, deal, quote, IT ticket or trip. Jacinta tells you what she will create and waits for your yes.
• Write a document or report, which you can download or Save to Files.

She only does what your own role allows. Some things are never done from the assistant: approving expenses, voiding or sending invoices, recording payments and adjusting stock. Jacinta tells you to use their screen, which also records them in the books.

Jacinta on problem screens

Screens that find problems, such as Books Health, the close checklist, the VAT return checks, a payment run that will not go through or the data importer, have an Ask Jacinta button. She explains what is wrong and, where Softbooq can fix it, lists What I can do and What will change. Each fix runs only when you choose it. These conversations are included, up to 20 a day for your workspace, and free whenever the problem is a fault in Softbooq.

Who can use Jacinta

Admins, Managers, Employees, Sales Reps and AI Users, on every plan, once an Admin has switched Softbooq AI on in Settings → Softbooq AI. Jacinta can only reach the modules your plan includes. During a free trial, Jacinta answers but does not take actions.

Your data

An Admin decides in Settings → Softbooq AI whether Jacinta may Read my business data and Read my documents. Documents means the files in the AI Knowledge folder in Softbooq Files, nothing else. To answer, the relevant text is sent to our AI providers, Anthropic and Google, who are bound by contract not to train on it. Chats are kept for 24 months unless an Admin changes Conversation retention in the same place.
